Build Your Business Before Your Business Gets Busy
Recently, I had a conversation with a new business owner. He was a tradie who had started his business less than a year earlier, and it had taken off well beyond his expectations.
He was a good marketer. He knew exactly how to attract customers, and customers were coming in droves—almost to the point where he didn't have enough time to do the work. He already had a team and support staff.
Over coffee, I suggested that, given the rate at which his business was growing, now might be the right time to start putting some simple systems in place to support the business.
His response surprised me.
"I'd rather spend my time making money than building systems."
If you had been sitting at the table with us, what would you have said?
Would you have agreed with him?
Or would you have suggested that the best time to build systems is while the business is still small - building the business you need today, with tomorrow's business in mind?
Why the best time to build systems is before you think you need them
Business owners and founders delay building systems for many reasons.
You might think your business is too small. After all, systems are for bigger businesses.
You might believe you'll have more time to do it later.
Or, quite simply, you may feel you don't have the time or money to invest in systems today.
Having worked with hundreds of business owners over the years, I've seen firsthand that the best time to build systems is before your business needs them.
When a business grows without documented processes, systems and appropriate controls, growth often becomes chaotic.
Systems allow a team to work more independently.
Documented systems allow a team to work consistently.
If the systems exist only in the owner's or founder's head, the owner becomes the bottleneck. The team can't move forward without you.
Without documented processes, your team keeps coming back with questions—sometimes the same questions from different people.
Before long, you spend your day reacting rather than leading.
Customers notice inconsistency, opportunities are missed, and growth becomes much harder than it needs to be.
Build the Business You Want Tomorrow
Business owners have a choice.
You can build a business to suit your needs today.
Or you can build the business you want to own in five years' time.
The second approach means making today's decisions with tomorrow in mind.
The systems you put in place today don't need to be complicated. They simply need to provide a foundation that can grow with your business.
Start simple
The thought of building systems can feel overwhelming, but it doesn't have to be.
Start with the basics.
One of the first systems every business should think about is the customer journey.
What happens from the moment a customer contacts you until the day the invoice is paid?
How do you respond to enquiries?
How do you quote?
How do you engage the client?
How do you deliver the work?
How do you invoice and follow up?
A documented customer journey helps provide a consistent experience for every customer.
Next, think about marketing and growth.
How will you continue attracting new customers?
How will you manage customer relationships?
How will you remain visible in your market?
Finally, think about financial management.
Imagine what your business might look like in two to five years.
What information will you need to make good decisions?
Set up your financial systems today so they'll provide that information as your business grows.
Keep everything simple.
Build only what you need today.
Then improve it as your business evolves.
A final thought
The businesses that grow sustainably aren't necessarily the ones that work the hardest.
They're the ones that prepare for growth before growth arrives.
The best time to build systems isn't when your business becomes busy. It's before it gets there.
